Terms and Conditions

You will be bound by the terms & conditions below once you book any trip with us that includes trekking, touring, climbing, or outdoor activities. We have an apparent policy with no hidden clauses or charges. You will be informed in advance if the trip/service incurs any additional costs and will be provided with the option to accept or reject them. Please carefully read the terms and conditions before booking any trip with us. Iconic Holiday Nepal provides information for your booking confirmation requirements, payment and refund policies, cancellation policies, and more. By confirming your booking, you agree to be bound by our policies.

Booking (Nepal)

To book a trip with us, you must complete and submit the booking form provided on our website or via email. You will be required to deposit to secure your booking, and the deposit amount will vary depending on the length and type of trip you have selected. The balance of the trip cost must be paid in full before the start of the trip. If the compensation is not received by the due date, we reserve the right to cancel your booking and retain your deposit.

Below are the terms of payment

  • For the booking confirmation, you must pay 20% of the total cost of the package in advance.
  • You can make the rest 80% of the final payment upon arriving in Nepal (before the beginning of the trip).

Booking (Bhutan)

To secure your booking, you may either complete the online booking process or submit a manual booking form, which will be provided via email upon request. Additionally, a deposit of 50% of the total trip cost is required. PLEASE NOTE THAT THIS 50% DEPOSIT IS NON-REFUNDABLE. The remaining balance should be settled in USD by credit card or bank transfer before the trip’s departure date.

Documents for Booking

We will need the following documents to obtain the mandatory permits for the venture.

  • A scanned copy of your Passport
  • Passport-size photo in JPEG format (proper for printing)

Last Minute Booking

For Nepal trips, we accept last-minute bookings up to 10 days before the trip departs, subject to availability. In such cases, 50% is required at the time of booking and this payment is NON-REFUNDABLE. For Bhutan, we can accept last-minute bookings up to 20 days before the tour departs depending upon the availability. In such cases, full payment is required at the time of booking and this payment is NON-REFUNDABLE. Failure to pay on time will not force Iconic Holiday Nepal to provide the services as per the booking agreement between the Client and the Company. 

Amendments

If you wish to make any changes to your trip, you must inform us in writing at least two weeks before the start of the journey. Please note that you will be responsible for paying any associated costs if the government permits, hotel booking cost, flight tickets have already been issued and cannot be refunded or revoked. You may also be liable for any costs incurred due to the cancellation of airfares purchased on your behalf.

Cancellation Policy

If the Client does cancel:

To cancel the trip, you must do it in written form and be approved by the Company. The date the Company or its Representatives receive the cancellation request will conclude the applicable charge.

The cancellation charges are executed hereafter as a percentage of the total tour price:

  • Cancelling 30 days or more before departure: 15% of the total payment will be deducted.
  • Cancelling 15 days before departure: 50% of the total payment will be deducted.
  • Cancelling less than seven days before departure: 80% of the total payment will be deducted.

Incomplete Trip

If, for any reason, a client is unable to complete the trip, Iconic Holiday Nepal will not be responsible for providing refunds for unused services, including meals, accommodation, transportation, or any other arrangements. Additionally, if a client engages in any unlawful activity during the trip and is required to leave the destination or country as a result, no refunds will be provided for the unused portion of the trip.

Child Policy

Participants under the age of sixteen (16) must be accompanied by a legal guardian or parent. Many individuals of this age have successfully reached great heights in the Himalayas. If a minor is fit and able to handle the trip's challenges, we are happy to support their dream of reaching high elevations. If you wish to travel with a child or minor, adhere to our child policy. One of the usual requirements is that a legally identified guardian must accompany the minor. Additionally, the minor must be physically active. Please contact us for more information about child trekking at any time.

Publicity & Media Use Policy

By joining any trip with Iconic Holiday Nepal, you agree that photos, videos, or other images captured during the journey may be used by us for promotional purposes. This may include use on our website, social media, brochures, or other marketing materials. These images may be shared in any form of media, present or future, and may be used without requiring additional permission or offering compensation. We always aim to use such content respectfully and in a way that highlights the beauty of the destination and the experience. If you prefer not to appear in any promotional content, please inform our team before the trip begins, and we will do our best to honor your request.

Responsibility

We are not responsible for any loss, damage, or injury that may occur during your trip, whether due to natural disasters, accidents, or any other cause. By booking a trip with us, you acknowledge that travel in Nepal involves inherent risks and assume full responsibility for your safety and well-being.

Complaints

If you have any complaints about the trip, please inform the team leader during the journey. They will do their best to address any issues you may have. If you have additional feedback or complaints you would like to share with our management team; you may do so within 15 days of the trip's completion. We will consider your criticisms and work to improve our services.

Privacy

We will collect personal information from you during the booking and permit process. We assure you that this information will be kept confidential and not shared with any third parties (unless necessary for the confirmed trip).

Jurisdiction

The laws of Nepal govern these terms and conditions, and any disputes will be resolved in the courts of Nepal. We appreciate your understanding and cooperation in adhering to these terms and conditions. If you have any questions or concerns, please do not hesitate to contact us. We look forward to
