You will be bound by the below terms & conditions once you book any trip with us that includes trek, tour, climbing, or outdoor activities. We have an apparent policy with no hidden clauses or charges. You will be pre-informed if the trip/service incurs any additional cost and provides the option to accept or reject it.

Payment Methods

Online Payment By Credit Card 

You can pay online to book your trip to Nepal. To confirm the reservation, we require a deposit of 10%, 20%, 25%, or 100% of the total cost of the excursion for each person, which must be paid while booking from the website. The percentage of the booking is determined according to the trip cost.

The Company will not be responsible for any losses or delays that may occur during the transfer process. The amount of money we received may be less than the stated amount due to issues with mediator banks or other circumstances. If this occurs, you must pay the remaining balance upon arrival in Kathmandu.

After depositing the booking fee, please email us the bank reference number or a copy of the remittance slips. The bank may forward the money under a different name. Providing us with the reference number or remittance slips and the sender's details will make it easier for us to confirm the transaction.

3. Final Payment/Acceptance of Booking/Client details:

You can make the final payment after you arrive in Nepal (before the commencement of the trip). We accept bank transfers, cash, or Credit Card/Debit Cards (American Express, MasterCard, Union Pay, Visa, and JCP).

*Note - You may get charged 3.75% extra when the payment is made by card.

Booking Policy

To book a trip with us, you must complete and submit the booking form provided on our website or via email. You will be required to deposit to secure your booking, and the deposit amount will vary depending on the length and type of trip you have selected.

The balance of the trip cost must be paid in full before the start of the trip. If the compensation is not received by the due date, we reserve the right to cancel your booking and retain your deposit.

Below are the terms of payment

  • For the booking confirmation, you must pay 20% of the total cost of the package in advance.
  • You can make the rest 80% of the final payment upon arriving in Nepal (before the beginning of the trip).

Documents for Booking.

We will need the following documents to obtain the mandatory permits for the venture.

  • A scanned copy of your Passport
  • Passport size photo in jpeg format (proper for printing)

*Note:

Failure to pay on time will not force Iconic Holiday Nepal to provide the services as per the booking agreement between the Client and the Company.

If you are booking a trip with short notice (within 10-15 days of the departure date), you must pay the total cost of the package upfront. Please note that some of our trips do not accept last-minute bookings.

Amendments.

If you wish to make any changes to your trip, you must inform us in writing at least two weeks before the start of the journey. Please note that you will be responsible for paying any associated costs if the government permits, insurance policies, or flight tickets have already been issued and cannot be refunded or revoked. You may also be liable for any costs incurred due to the cancellation of airfares purchased on your behalf.

Cancellation Policy.

If the Client does cancel:

To cancel the trip, you must do it in written form and be approved by the Company. The date the Company or its Representatives receive the cancellation request will conclude the applicable charge.

The cancellation charges are executed hereafter as a percentage of the total tour price:

  • Cancelling 40 days or more before departure: 15% of the total payment will be deducted.
  • Cancelling 20 days before departure: 50% of the total payment will be deducted.
  • Cancelling less than seven days before departure: 80% of the total payment will be deducted.

For the best return, the Client is advised to get a cancellation at the time of the booking.

*Note - If you voluntarily leave the trip for any reason after the journey has begun, then the Company will make no refunds. No refunds will be made for any transport, sightseeing, accommodation, meals, or unused services.

If the Company does cancel:

In the event of any unforeseen circumstances, such as flight cancellations, political instability, natural disasters, quarantine, illness, war, industrial action, government intervention, adverse weather conditions, or other emergencies beyond the control of the Company, the Company reserves the right to cancel any booked trips.

If we need to cancel a trip due to unforeseen circumstances, we will offer you a full refund or the opportunity to transfer to another trip.

*Note -

The Company is not responsible for any additional expenses or consequential damages that the Client may incur due to their bookings, such as non-refundable flights or trains, visas, vaccinations, non-refundable car parking fees, loss of earnings, or loss of enjoyment.

Child Policy.

Minors (under the age of 16) can participate in treks and other outdoor activities. Many individuals of this age have successfully reached great heights in the Himalayas. If a minor is fit and able to handle the trip's challenges, we are happy to support their dream of reaching high elevations.

If you wish to travel with a child or minor, adhere to our child policy. One of the usual requirements is that a legally identified guardian must accompany the minor. Additionally, the minor must be physically active.

Responsibility.

We are not responsible for any loss, damage, or injury that may occur during your trip, whether due to natural disasters, accidents, or any other cause. By booking a trip with us, you acknowledge that travel in Nepal involves inherent risks and assume full responsibility for your safety and well-being.

Use of Images and Videos

The Company reserves the right to use images and videos taken by individuals during the trip for publicity and promotional purposes through any medium without providing compensation. Check out our Privacy Policy for more information.

Complaints

If you have any complaints about the trip, please inform the team leader during the journey. They will do their best to address any issues you may have. If you have additional feedback or complaints you would like to share with our management team; you may do so within 15 days of the trip's completion. We will consider your criticisms and work to improve our services.

Privacy

We will collect personal information from you during the booking and permit process. We assure you that this information will be kept confidential and not shared with any third parties (unless necessary for the confirmed trip).

Jurisdiction

The laws of Nepal govern these terms and conditions, and any disputes will be resolved in the courts of Nepal.
